Mothers Club Event Guidelines

School Contacts

•  Main Office: Sheri Guye, - Event scheduling, booking of rooms, school mailings and office supplies and equipment.

•  Junior School: Nita Snow, -Scheduling or related Junior School questions.

•  Plant Operations: David Norton, -Set up of tables, tablecloths, chairs, AV set-up, etc. Contact 2-3 weeks prior.

•  Food Service : Susan Davenport, - Food service questions, assistance.

Event Support

•  Communications : Nina Thomas, - Communication assistance, including invitations, flyers, e-newsletter, etc.

•  Event Supply Coordinator: Peggy Luton, 665-2526 -Management of Mothers Club closet, including paper supplies, equipment, etc.

•  Treasurer : Carol Wieck, - Budget/reimbursement information. Click for copies of the Spaghetti Supper Reimbursement Form or the general Mothers Club Reimbursement Form.

•  Volunteer Coordinator : Susan Brown, -Can provide contact info for volunteers who will bake, provide manpower, etc.

•  Website : Marilyn Hinton, -Posting of information, pictures on Mothers Club website.

Event Planning :

• As you plan your event consider contacting Flower Coordinators Vicki Bartholomew and Wendy Martin, to determine if flowers from a prior event might be available for use.

•  Before soliciting any services or goods, please contact Solicitations Chair Liz Berklacich, to prevent overlap.

•  MBA's tax number can only be used with an MBA Mothers Club check (reimbursement for expenditures will not include sales tax).

•  MBA's maintenance staff will take down tables and chairs. Plan to recruit help for cleanup over and beyond this breakdown.

•  Do not leave food/beverage in the school refrigerators.

•  Use nametags at all events. Blank tags are available from the office, printed can be requested in advance through Sherie Guye or Nita Snow.

•  MBA charges the Mothers Club for printing, copying, postage, paper, and envelopes, so allow for these expense in your planning. Note that it is less expensive to do your printing at Office Depot. Mailing expenses can be reduced by using email whenever possible and by enclosing things in the all-school mailings. Anything that goes in an all-school mailing must be submitted by the 15th of the month PRIOR to the mailing.

General Guidelines
•  If you hear of an MBA student of family in need, please contact any of the three Sunshine Chairs: Melanie Leader, Carol Mazzoni, or Lacy Nelson at .

•  All Mothers Club officers and event chairs MUST produce a report listing in concise manner a timeline of responsibilities and all budget information. As soon as your event and/ or responsibilities have ended please submit your report to Reports Coordinator Julie Branstetter .
